Privacy policy

We collect the minimum we need to run an exam, and we do not sell it. This page explains exactly what that means.

Last updated: 31 August 2026

Who we are

International English Olympiad Foundation (IEOF) organises the Global English Olympiad. For the purposes of this policy, IEOF is the data controller. You can reach us at info@ieofoundation.org or by post at G-108, Keerthi Apartments, Ameerpet, Hyderabad - 500073.

What we collect

We collect only what is needed to register a student, run the exam and issue results.

  • Student details submitted by your school: name, class, section, roll number, school code and date of birth.
  • Parent or guardian contact details: name, email address and phone number, used for exam and result communication.
  • School and co-ordinator details: school name and address, and the co-ordinator's name, designation, email and phone number.
  • Exam data: responses, scores, ranks and any award or certificate issued.
  • Basic usage data: aggregate, non-identifying analytics about how pages on this site are used.

We do not ask for, and do not want, financial account details, government identification numbers, or any sensitive personal data beyond the above.

Children's data

Our participants are minors. Student registrations are submitted by the school acting with parental consent obtained at enrolment — we do not collect data directly from children, and this site has no student-facing sign-up form. A parent or guardian may ask us at any time to show, correct or delete their child's data by writing to info@ieofoundation.org.

We publish a student's name, school and rank in the hall of fame only where we hold written parental consent for that specific purpose. Consent can be withdrawn at any time and we will remove the entry.

How we use it

  • To register students and generate registration numbers and admit cards.
  • To conduct the exam, score answer sheets and publish results.
  • To issue certificates, medals and awards.
  • To contact parents and co-ordinators about exam logistics, dates and results.
  • To arrange travel and documentation for award-ceremony winners.
  • To meet our legal, accounting and audit obligations.

We do not sell personal data, we do not rent mailing lists, and we do not use student data for third-party advertising.

Who we share it with

We share data only where it is necessary to run the exam:

  • Your school, which receives its own students' results and certificates.
  • Service providers who host this site, deliver email, process payments and print papers and certificates — each under contract and only for that purpose.
  • Travel and visa providers, for winners attending the international award ceremony, and only with the family's agreement.
  • Authorities, where we are legally required to disclose.

How long we keep it

Registration and result records are retained for as long as we may need to verify a past result or reissue a certificate, and to meet statutory record-keeping requirements. Contact details used purely for exam communication are removed once they are no longer needed. You may request earlier deletion, subject to any legal obligation we have to retain a record.

Security

Access to student data is restricted to staff who need it, transfers to and from this site are encrypted, and result lookups require both a school code and a registration number. No system is perfectly secure, and we will notify affected families and the relevant authority promptly if a breach occurs that puts personal data at risk.

Your rights

You may ask us to give you a copy of the data we hold about you or your child, correct anything inaccurate, delete data we no longer need, or stop sending you non-essential communication. Write to info@ieofoundation.org and we will respond within 30 days.

Cookies

This site uses a small number of functional cookies to keep you signed in to the student dashboard, plus privacy-friendly aggregate analytics. We do not use advertising or cross-site tracking cookies. You can block cookies in your browser, though the student dashboard will not work without the functional ones.

Changes to this policy

If we change this policy materially we will update the date above and, where the change affects how we use student data, notify school co-ordinators directly.
